D.Min. Program Assistant

The Doctor of Ministry (D.Min.) Program Assistant provides administrative and operational support for the Doctor of Ministry Program. This position assists with student services, course administration, faculty support, academic records, event coordination, and communication to ensure the smooth operation of the program while delivering excellent service to students and faculty..
職責Responsibilities:
- Program Administration:
- Provide day-to-day administrative support for the D.Min. Program. Maintain accurate student records and program documentation. Assist with admissions, enrollment, registration, and graduation processes. Coordinate program calendars, deadlines, and academic schedules. Prepare reports, correspondence, and program documents.
- Student Services:
- Serve as a primary administrative contact for prospective and current D.Min. students. Respond to inquiries regarding admissions, registration, graduation requirements, and program policies. Track student academic progress and remind students of important deadlines. Coordinate dissertation milestone submissions and related documentation.
- Faculty Support:
- Assist faculty with course logistics, classroom preparation, and instructional materials. Coordinate course schedules and faculty communications. Support dissertation mentors with administrative needs.
- Course Administration:
- Assist in preparing course materials and online learning resources. Coordinate Zoom sessions, classroom arrangements, and course recordings. Manage attendance records and course evaluations. Support learning management system (LMS) and Populi administrative tasks.
- Dissertation Administration:
- Track dissertation milestones and submission deadlines. Coordinate dissertation proposal approvals, IRB documentation, external reviews, and oral defenses. Maintain dissertation records and archival documents. Assist with formatting review coordination and final submission processes.
- Event Coordination:
- Assist in planning and coordinating orientations, residencies, seminars, workshops, and commencement activities. Coordinate travel arrangements and hospitality for visiting faculty when needed. Prepare meeting materials and record meeting minutes.
- Communication:
- Prepare newsletters, announcements, and program updates. Maintain communication with students, faculty, and alumni. Update program webpages and promotional materials as assigned.
- Financial & Administrative Support:
- Assist with purchase requests, reimbursements, and budget tracking. Process invoices and maintain financial documentation. Support grant-related documentation when applicable.
- Other Duties: Participate in departmental meetings. Perform other duties as assigned by the D.Min. Program Director.
資格Qualifications:
Required:
- Bachelor’s degree preferred.
- Minimum two years of administrative experience.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- High attention to detail and accuracy.
- Proficiency in Microsoft Office Suite
- Ability to maintain confidentiality.
- Must be authorized to work in the United States.
- Must support the Seminary’s Statement of Faith, mission, and values.
